COVID19 POLICIES

Please take note of these important Safety Guidelines & Operations Protocols as they relate to attending the SmallSat Symposium

 

COVID-19 CANCELLATION POLICY
In the event of a Covid-19 related restriction preventing in-person gatherings at our venue, attendees can choose either a full refund or a partial refund to attend the conference virtually.

In the event an attendee is unable to travel, and the normal refund period listed on the registration page has lapsed, attendees will be provided a partial refund (the difference between the in-person and virtual rate) and access to the virtual event.
 

ORDINANCE COMPLIANCE
The SmallSat Symposium will comply with all local, state and federal country requirements for COVID-19 safety protocols. Current requirements are listed below and subject to change. Any changes to local rules will result in a change to event policy.
 

1. MASKS ARE REQUIRED
In accordance Santa Clara country requirements, masks are required indoors for all participants unless you are eating, drinking or presenting on stage.

 

2. MEGA EVENT RULES
If the Symposium exceeds a capacity of 1,000 attendees proof of vaccination or a negative COVID-19 test will be required for entry as per California regulation: https://covid19.ca.gov/mega-events/

We will make every effort to ensure that all attendees are notified well in advance should we need to collect this information from you.

 

3. VACCINATIONS
Vaccinations are encouraged for our attendees and we are closely monitoring changing California regulations with regards to events.  For more information visit:  https://www.cdph.ca.gov/Programs/OPA/Pages/NR21-256.aspx

While the event is held in Santa Clara County, please also note that if you are staying in or transitioning through San Francisco County vaccines are required in many indoor settings, such as restaurants and bars. (This does not apply to the Airport or Ride Share Options as of November 1, 2021.)  Proof of a negative test cannot be used in lieu of a vaccine.  As a result, we strongly encourage you to bring proof of vaccination on your trip.

San Francisco currently accepts the following forms of vaccination proof:

  • Original, copy, or electronic photo of the CDC vaccination card (or similar documentation issued by another foreign governmental jurisdiction)
  • Documentation from a healthcare provider
  • Personal digital COVID-19 vaccine record issued by the State of California available by going to https://myvaccinerecord.cdph.ca.gov
  • Personal digital COVID-19 vaccine record issued by another State, local, or foreign governmental jurisdictions
  • Personal digital COVID-19 vaccine record issued by an approved private company

 

4. FULL VACCINATION IS REQUIRED FOR ALL SMALLSAT SYMPOSIUM STAFF AND CONTRACTORS WHO WILL BE AVAILABLE TO ASSIST YOU THROUGHOUT THE EVENT

 

5. PRECAUTIONS
There will be cleaning throughout the event and at the end of each day to ensure the safety of attendees. The event app will also allow for communication and connection between attendees without having to exchange business cards.

 

In addition several modifications have been made to the venue to ensure a safe environment indoors:

The recommendation for indoor spaces per the CDPH and Cal-OSHA is to provide sufficient airflow and ventilation for all indoor meeting and gathering spaces. CHM has:

  • Over 400 tons of air volume from 4 major commercial rooftop boxcar units in its Heating, Ventilation, and Cooling systems (HVAC)
  • Open space architecture throughout the building and high (18’) ceiling features allow for maximum air circulation
  • Upgrades to MERV 13 filtration (MERV = Minimum Efficiency Reporting Value). MERV13 is one of the highest commercial building filter applications designed to remove particles including allergens, pollutants, viruses and bacteria from indoor air
  • An HVAC Economizer system for all the boxcar units which has a make-up of fresh outside air use 30-40% of the time throughout the day, and 100% total per day when providing conditioned air to the building.

 

6. FEELING SICK

If for any reason you feel ill in the days prior to or at the event, we require that you do not attend until you have a negative COVID test (see testing sites below).  Please notify SmallSat Symposium staff immediately if you test positive via email (teresa@satnews.com) or call (707-939-9306 x2222) and we will provide you with alternative attendance options.
